1. Introduction

These Terms & Conditions govern the use of PurchaseDot, a software service provided to post-primary schools to manage purchasing and expense claims.

By using PurchaseDot, the school agrees to these terms on behalf of its staff.

2. Who the Service Is For

PurchaseDot is provided to schools and educational organisations for internal administrative use.

Individual users (teaching and non-teaching staff) access the system under the authority of their school.

3. Accounts & Access

  • User accounts are created and managed by the school.
  • Schools are responsible for ensuring that access is given only to authorised staff.
  • Users must keep their login details secure and must not share accounts.

PurchaseDot may suspend access where there is evidence of misuse or unauthorised access.

4. Use of the Service

PurchaseDot may only be used for lawful, school-related administrative purposes, including:

  • Submitting and reviewing purchase or expense claims
  • Managing approval workflows
  • Record keeping and reporting

The service must not be used to upload unlawful, inappropriate, or unrelated content.

5. Data Ownership

All data entered into PurchaseDot remains the property of the school.

PurchaseDot processes data only on behalf of schools and only for the purpose of providing the service, as outlined in the Privacy Policy.

6. Accuracy of Information

Schools are responsible for the accuracy and completeness of data entered into the system.

PurchaseDot does not verify the correctness of expense claims, receipts, or approvals and is not responsible for financial or administrative decisions made using the service.

7. Availability & Changes

We aim to keep PurchaseDot available and reliable but do not guarantee uninterrupted access.

The service may be updated or changed from time to time to improve functionality, security, or compliance.

8. Termination

Schools may stop using PurchaseDot at any time.

PurchaseDot may suspend or terminate access where these terms are breached or where continued use poses a security or legal risk.

Data handling on termination will follow the school’s instructions and applicable legal requirements.

9. Limitation of Liability

PurchaseDot is provided on an “as is” basis.

To the maximum extent permitted by law, PurchaseDot is not liable for indirect losses, including loss of data, revenue, or administrative delays arising from use of the service.

Nothing in these terms limits liability where it cannot be legally limited.

10. Governing Law

These terms are governed by the laws of Ireland.
